Commercial Project Coordinator
Commercial Project Coordinators are responsible for overall project planning and coordination of commercial surfacing projects that will be installed while facilitating technical direction and problem resolution activities between the contractor and internal resources while ensuring customer’s needs, schedules, and expectations to ensure high quality, on-time projects for our customers.
RESPONSIBILITIES INCLUDE:
- Oversee assigned commercial projects from bid acceptance through project completion.
- Determine how to meet customer’s performance requirements and schedules.
- Determine project schedule based on customer expectations. Make revisions when needed.
- Set appropriate expectations regarding lead times and product performance with customers, general contractors, and owners.
- Identify the elements of project design and fabrication likely to give rise to problems. Make customer aware of any likely issues, design challenges material availability, etc., up front.
- Work closely with fabrication and installation departments to ensure achievable design from the standpoint of fabrications, installation, performance, and liability.
- Confirm the scope of each project with customer and obtain corresponding purchase order prior to advancing order. Create project tracking spreadsheet for larger projects as needed.
- Responsible for change order documentation.
- Process and track projects using Stone Profits System. Maintain up to date project information and schedules.
- Monitor the progress of the construction process on a regular basis. Periodic construction site visits when required.
- Confirm site conditions with customer and/or general contractor prior to field measure and installation as applicable.
- Coordinate accurate project submittal documentation and samples when required.
- Ensure that required activities move according to pre-determined schedule. (Material ordering, field measuring, installation, etc.). Coordinate the efforts of all departments within Innovative Surfaces involved in the project in order to maintain project schedules.
- Communicate any customer needs or follow ups required by the sales team.
- Maintain communication with Commercial Sales Representative regarding any customer issues or project issues.
- Review drawings and work with original estimator to provide customers with any necessary quote or contract revisions after field measure in a timely manner.
- Provide all necessary close-out documents upon the completion of the project.
- Complete project invoicing in a timely manner. Invoicing of all projects should be done the day after project completion or partial completion of a project.
- Resolve any issues that may arise after the completion of the project in a timely manner. Coordinate any repair or service work required.
- Coordinate install paperwork in conjunction with the scheduling team.
- Additional responsibilities as assigned.
QUALIFICATIONS/SKILLS REQUIREMENTS INCLUDE:
- Strong communication and coordination skills are vital in this role.
- Candidates must have the ability to multitask, work independently and efficiently, as well as problem solve.
- Must be dependable and reliable, have the ability to be flexible with schedule and work overtime as needed; demonstrate excellent time management and prioritization skills; ability to read and comprehend complex instructions, blueprints, and schematics; have an intermediate knowledge of computer programs including Microsoft Word, Excel, and Outlook.
- High School Diploma or Equivalent required, Post-Secondary Education preferred.
- Experience in or knowledge of the commercial construction and/or the countertop fabrication and installation industries strongly preferred.
SCHEDULE:
Standard working hours will be day shift Monday through Friday with some overtime as needed.
